Altiora helped an international procurement business redesign how enquiries, orders and supplier coordination were handled, then built a tailored web application and customer portal to support those ways of working. 1. The challenge

The business managed a demanding procurement process, from customer enquiries and supplier quotations through to purchase orders, quality checks, certification and overseas shipping support.

Large volumes of time-sensitive emails made it easy for opportunities to be missed or acknowledged too late. Customer purchase orders required manual checking and conversion, so work could remain in the inbox while management waited for an accurate view of its value.

An ageing system had become slower as workloads grew. Processes were fragmented, supplier chasing took considerable staff time, and important sourcing knowledge depended heavily on the owner. These constraints made fluctuations in demand harder to handle and limited the team’s ability to respond quickly.

2. What we built

Altiora designed how work would move through the business in a digital environment, then built the tailored application around those processes. The work connected business communication with day-to-day operations, with automation where it could reduce delays and repetition and a customer portal extending the digital service to customers.

    Altiora built a real-time operations dashboard that brought all areas of the business into one coordinated, easy-to-follow view. The team could see what needed attention and how work was progressing, while management gained a clearer picture of day-to-day operations.

  • An inbox organised around the business

    AI categorised incoming emails using categories defined by the business, helping staff identify new enquiries, purchase orders and messages awaiting attention without searching through the entire inbox.

  • Faster purchase-order processing

    The system read incoming purchase-order details and supported a streamlined conversion process. Existing quotations could be converted into orders with one click, while contract orders could be linked to existing agreements and their pricing.

  • Supplier follow-ups and clearer enquiries

    Rules-based follow-ups automatically reminded suppliers when pricing was outstanding. Clear, professional messages made it easier for suppliers to understand what was needed and respond. AI also assisted with rewriting complex technical item descriptions for clarity.

  • Supplier knowledge available to the team

    Previous supplier relationships, response history and purchasing records helped direct enquiries to relevant suppliers. Knowledge that had once depended heavily on the owner became more accessible through the system, making it easier for administrative staff to oversee the process.

  • A customer portal

    Altiora also built a customer portal as part of the wider system, extending the business’s digital service beyond its internal team.

    The wider work also included support around outstanding-order reporting and customer communication, alongside a review of the application’s public-facing security configuration and recommendations for further improvements.

In procurement, clear item descriptions and accurate records support work involving quality checks, certification and overseas shipping documentation.
