1. The challenge
The business depended on paper project files, printed architectural drawings and a single office diary. As it grew, printing, distributing and storing records became increasingly costly and difficult.

2. What we built
Altiora designed the processes for office teams and inspectors to work digitally, then created a tailored application to support those processes. Accessible from computers and mobile devices, it brought project information and coordinated ways of working together rather than asking staff to make a new system fit old paper-based routines.
Processes designed for digital working
The work redesigned how project information, inspection scheduling, correspondence and invoicing fitted together. Shared records, qualification-aware allocation and rules-based communication formed part of the working processes, not isolated software features. Processes and application were developed together, giving teams a practical way to work digitally rather than simply handing over a system and leaving them to work it out.
Digital project records available wherever work happens
Architectural drawings, documents, inspection histories, site notes and comments became accessible within the application. Inspectors could review the relevant project information while away from the office, reducing dependence on printed drawings and physical files.
A shared diary with mapped scheduling
The paper diary became an electronic scheduling system with mapped inspection locations. Coordinators could see who was going where and adjust allocations more easily. Inspectors could generate efficient routes for multiple visits, helping reduce unnecessary travel.
Inspection allocation informed by qualifications
The system supported the allocation of appropriately qualified inspectors to suitable work and gave management clearer visibility of training needs. Shared project histories made it easier for eligible colleagues to take over a visit.
Project-linked email and focused internal communication
Emails could be linked to the relevant project and made available to its team, regardless of which connected inbox received them. System-generated correspondence used a unique reference to associate replies with the correct record.
Internal tasks and messaging supported focused conversations with the relevant people, reducing reliance on internal email and manual filing.
Templated correspondence and automated follow-ups
More than 100 standard letters were digitised and made available to staff. Rules-based workflows supported sending the appropriate communication to the right recipient at the relevant project stage, helping maintain regular contact and surface outstanding issues earlier.
Electronic invoicing and overdue-payment workflows
Invoicing was brought into the system, with automated reminders and internal escalation according to invoice type and overdue stage. This supported a move away from an exclusively upfront-payment process and helped reduce payment-related delays at the start of projects.
Real-time operational and financial reporting
More than 20 live management reports gave the business a coordinated view of its operations. Financial reporting included the value of quotations awaiting conversion and uninvoiced work, alongside revenue and profit estimates informed by historical information.
Staff records and embedded quality-management processes
Basic staff information, review records and related HR administration were brought together. ISO 9001 quality-management documentation and templates were also embedded in the application, supporting consistent processes and easier preparation for audits.
